Candidate Privacy Notice

Scope and responsibility

This notice applies when you apply for or discuss employment, internships, contracts, or other work with Ciphers Tech Labs LLP, the operator of ciphers™. It supplements the Privacy Policy. The careers process is intended for people aged 18 or older.

Information we may use

We may use your name, contact details, current city, résumé, work and education history, portfolio and professional links, cover note, role preferences, communications, interview notes, assessment material, availability, compensation expectations, reasonable-adjustment information you choose to provide, references you authorise, and information needed to evaluate or administer the process.

Sources

Most information comes directly from you. We may also receive information from people you authorise as references, recruitment partners involved in a role, interviewers, and public professional sources where relevant and lawful. If a later-stage check is appropriate, we will provide any additional notice or obtain authorisation required by law.

Why we use it

• To review your suitability for the role you selected.
• To communicate about interviews, assessments, decisions, and reasonable adjustments.
• To verify information or references where appropriate and authorised.
• To plan and administer hiring, protect the integrity and security of the process, and keep appropriate records.
• To comply with law and establish, exercise, or defend legal rights.

Consent and sensitive information

The application form asks for consent to process the application as described here. You may withdraw consent for future processing, although that may mean we cannot continue the application.

Do not include government identifiers, financial details, medical information, or other sensitive personal data in a résumé or cover note unless it is genuinely necessary and we have asked for it. You may request a reasonable adjustment without providing more detail than is needed to arrange it.

Who receives it

Access is limited to authorised people involved in hiring and service providers that help us operate communications, storage, security, and recruitment processes. We do not sell candidate information. We may disclose information when lawfully required or necessary to protect rights, safety, or the integrity of the process.

International processing

Some service providers may process candidate information outside India. Where this occurs, we take reasonable steps to protect the information and comply with restrictions that apply to the transfer or access.

Automated tools

Tools may assist with administration, security, or review, but we do not make a final hiring decision solely through automated processing. Accountable people make hiring decisions.

Retention

We keep candidate information only for as long as reasonably necessary to administer the application, consider the candidate for relevant roles where permitted, maintain appropriate hiring records, resolve disputes, and comply with law. When the purpose no longer applies, we delete or de-identify the information, subject to lawful retention needs.

Your choices, rights, and grievances

Subject to applicable law, you may request information about your candidate data, correction, completion, updating, or erasure; withdraw consent; or raise a grievance. Contact us from the email address connected with your application and describe your request. We may verify your identity before acting and may retain information where a legal exception applies.

Changes

We may update this notice as our careers process or applicable law changes. The effective date identifies the current version.
